A golden sample should never stand alone. The controlled production baseline is a four-part set: an identified physical sample, a measurable product specification, an approved machine recipe, and a revision record. If one part changes without the others, the factory no longer knows which version is correct.

The Argument Usually Starts with Two Correct-Looking Samples

Sales keeps the sample approved by the buyer. Production keeps a later sample made after an ultrasonic adjustment. Quality has a PDF drawing with the old handle position. The HMI contains three recipes with similar names. Each person can point to evidence, yet the evidence describes different product states.

This is a configuration problem, not an operator-attitude problem. ISO 10007:2017 provides guidance for configuration management across a product or service lifecycle. Applied to bag production, that means identifying the approved baseline, controlling changes, recording status, and auditing that the physical and digital versions still match.

Give Every Sample a Specific Role

Label each sample with product code, revision, date, role, covered attributes, exceptions, approvers, custody location, and replacement status. The word approved is not enough.

Build the Baseline Around Measurable Product Requirements

The written specification should define bag width and height, folds, gussets, handle dimensions, print position, seam locations, material code, GSM, color reference, surface treatment, packing, and test methods. Give every controlled file its own revision.

The physical sample is valuable for shape, hand feel, appearance, and workmanship that words may describe poorly. It cannot prove polymer composition, tensile values, treatment level, or a load-test result. Link those requirements to material certificates or test records rather than asking an inspector to see them in the sample.

Turn the Machine Recipe into a Controlled Record

A recipe is more than the bag length displayed on the HMI. It should identify the machine model and serial number, software version, product revision, fabric code, tooling IDs, web path, guide positions, fold and gusset settings, sensor mode, feed length, ultrasonic settings, pressure, speed range, counter, and approved inspection result.

Protect released recipes from uncontrolled editing. If operators need an adjustment window for normal roll variation, document the window and escalation point.

Use a Change Request Before the Machine Setting Changes

A change can begin with a buyer request, unavailable material, new Supplier, worn tooling, complaint, cost reduction, or process improvement. Record the reason and affected items before implementing it.

1. Describe the proposed change and current baseline.
2. Assess product, process, tooling, safety, compliance, cost, delivery, stock, and documentation impact.
3. Decide what sample or test is needed.
4. Obtain approval from named authorities.
5. Update every affected drawing, recipe, sample, work instruction, and inspection record.
6. Verify the first production after implementation.

A verbal customer approval in a chat message should be transferred into the controlled change record with clear scope. Do not let it remain detached from the production documents.

Control Custody, Condition, and Retirement

Keep at least one protected reference where production and quality can access it without damaging it. If the buyer also holds a sample, identify both as matched copies from the same approval state. Photographing the sample helps identify it but does not replace the object when color, texture, fold behavior, or construction matters.

• Seal or package the sample to prevent contamination and casual use.
• Inspect its condition at a defined interval.
• Record fading, deformation, damage, or missing labels.
• Quarantine obsolete samples instead of leaving them at the line.
• Retire and replace a sample through approval, not convenience.

Release Production with One Baseline Review

Before each repeat order, compare the purchase order, product revision, material, artwork, recipe, tooling, golden sample, and test plan. Resolve conflicts before loading the roll. Quality should check the first article against measurable criteria and named sample attributes, then record any allowed deviation.

For a Customizable product, send Zhengxin the controlled bag drawing, material data, golden-sample reference, required test, and machine serial number. Zhengxin can map these inputs to the appropriate OEM or ODM recipe and tooling record. The useful outcome is a reproducible baseline, not another unlabeled sample on a shelf.
